Student Records

Lincoln Land Community College shall maintain a permanent scholastic record for every student and take reasonable precautions to ensure the confidentiality of such records. Records shall be released only in accordance with applicable state and federal statutes and rules (Board Policy 5.13).

Student enrollment and transcript records shall be retained permanently in an electronic format. Paper copies of admissions and enrollment worksheets shall be retained for three years and then destroyed. Any student wishing to challenge the accuracy of personal admissions or enrollment records must do so within one calendar year of the term in question.

The student records policy at LLCC is governed by the Family Educational Rights and Privacy Act (FERPA). No unauthorized person will have access to non-directory information without written student consent. The college will not disclose information from a student's educational record without consent except to:

  • Personnel within the institution
  • Officials at other institutions where the student seeks to enroll
  • Persons or organizations that provide financial aid
  • Accrediting agencies carrying out their accreditation function
  • Authorized federal and state government representatives conducting audits or evaluations of federal- and state- supported programs
  • Individuals complying with a judicial order
  • Individuals in an emergency in order to protect the health and safety of students or others

These disclosures are permitted under FERPA. 

In accordance with FERPA, LLCC may disclose directory information, including:

  • Name
  • Address
  • Telephone number
  • Hometown
  • Date of birth
  • Major field of study
  • Class (freshman or sophomore)
  • Dates of attendance
  • Degrees conferred with dates
  • Honors and awards
  • Educational institutions previously attended
  • Participation in sports
  • Height and weight of student athletes

FERPA also gives students the right to review and challenge information in their educational records. LLCC Records coordinates this process in compliance with FERPA. 

 

Transcripts

An academic transcript will include every college credit course taken and degree earned at LLCC.

The transcript will list all courses attempted, grades earned and the cumulative grade point average. 

Students earning a degree at LLCC who also earned credit at another college may choose whether to include those courses in their LLCC transcript and grade point average. 

For an individual assessment, students should send official transcripts to LLCC Records for evaluation. 

Academic indicators other than grades — including "W" (withdrawn), "PR" (proficiency), "RP" (repeat) and "I" (incomplete) — will be identified and explained in the narrative on the reverse side of the transcript.
